1. Scope of Policy
LuxeVenue.ai acts as a strategic aggregator between the User (Customer) and the Service Provider (Venue). By booking through our platform, you agree to abide by both Luxe Venue's general policy and the specific cancellation terms set by the chosen Venue.
2. Cancellation Timeline & Refund Structure
Refunds are calculated based on the number of days remaining before the scheduled event date:

To protect our clients from total loss, LuxeVenue.ai provides an exclusive Resale Assistance Feature upon cancellation within 7 days:
- The Resale Engine: Upon your cancellation, we will immediately re-list your reserved date and venue slot on our platform as a Priority Last-Minute Opening.
- Refund Eligibility: If your cancelled date is successfully re-booked by another client through our Resale Engine, LuxeVenue.ai will grant you a refund of up to 60% of your original booking amount.
- Outcome-Based: This refund is contingent upon the successful completion of the new booking. If the slot remains unbooked, the original No Refund policy will apply.
3. Non-Refundable Bookings
Certain premium bookings, peak-season slots, and Exclusive Deals are marked as non-refundable. These terms will be clearly displayed on the checkout page before payment.
4. Convenience & Service Fees
The Luxe Venue Convenience Fee charged at the time of booking is non-refundable in all circumstances, as it covers the digital platform services and 3D/VR venue walkthrough technology provided at the time of discovery.
5. Force Majeure & Special Circumstances
In the event of unforeseen circumstances such as natural disasters, government restrictions, or Acts of God:
- Luxe Venue will facilitate a discussion between the client and the venue to reschedule the event.
- A Credit Note may be issued for future use, valid for 12 months, subject to venue availability.
6. Refund Process
- To initiate a cancellation, please use the Cancel Booking option in your dashboard or email us at support@luxevenue.ai with your Booking ID.
- All approved refunds will be processed back to the original payment method within 15 business days.
7. Dispute Resolution
In case of any disagreement regarding a refund, the decision made by Luxe Venue Private Limited management, in accordance with the Venue's agreement, shall be final.
8. Escrow & Vendor Payments
To ensure maximum security, Luxe Venue uses an Escrow Mechanism for Artist and Third-Party Vendor payments. Funds are held securely and only released to the vendor 24 hours post-successful event completion. In case of a dispute, the funds will remain in Escrow until a resolution is reached.
9. Luxe Venue Add-on Services
Fees for add-on services such as 3D Venue Walkthroughs, Event Concierge, and Premium Branding are non-refundable once the service execution has commenced.
10. Artist Replacement Guarantee
In the rare event of an Artist cancellation, Luxe Venue will provide an equivalent replacement option or a 100% refund of the Artist's fee held in Escrow. Luxe Venue's liability is limited to the amount paid for that specific service.
1. Direct Payment Disclosure
Luxe Venue Private Limited is only a platform to connect Users and Service Providers. Any payment made outside the Luxe Venue ecosystem (Direct Cash/Bank Transfer to Vendor) is at the User's own risk. Luxe Venue is not responsible for recovering these funds in case of a dispute.
2. Booking Confirmation Fee (Non-Refundable)
To secure a booking without Escrow, Luxe Venue charges a Platform Facilitation Fee.
- This fee is for the Technology & Connection service provided.
- This fee is 100% non-refundable even if the event is cancelled or the vendor fails to show up.
3. Vendor-Specific Terms Apply
Since the payment is direct, the cancellation policy of the specific Artist/Vendor will apply.
- It is the User's responsibility to check the vendor's refund policy before making a direct payment.
- Luxe Venue will provide the vendor's T&C on the profile page, but will not be a party to the refund negotiation.
4. Dispute Facilitation (Not Resolution)
In case a vendor cancels after taking direct payment:
- Luxe Venue will provide the vendor's registered contact details and legal ID (if available) to the user for legal action.
- Luxe Venue may Blacklist/Ban the vendor from the platform if they are found guilty of fraud, but we will not provide a monetary refund to the user.
5. Last Minute Artist Replacement
If a direct-pay artist cancels, Luxe Venue will try its best to suggest an alternative within 24 hours. However, the price and booking terms for the new artist will be a fresh contract.
